TRUST ADMINISTRATIVE ASSISTANT I (Mount Dora, FL)
Posted: 04/13/2025We have an immediate opening in the Trust Department for a Full-Time personable, polished and professional Administrative Assistant. This position works directly with Trust Officers and Team Leaders who manage a book of fiduciary relationships to meet client needs and expectations. The incumbent will serve as an additional point of contact to clients and as a backup for the Trust Officers and will perform other administrative duties as needed. Must have excellent written/verbal communication and interpersonal skills, be detail oriented, take pride in accuracy, organized and possess strong follow-up and multi-tasking skills. Trust experience is preferred but not required. This position does not make judgments about interpretations of the governing instrument.
The hours are 8:00 a.m. – 5:00 p.m. Monday through Friday
Knowledge/Skills/Abilities:- Performs a variety of administrative duties as needed to include; typing, filing, copying and sorting of mail.
- Ability to successfully follow designated procedural checklists to complete specific tasks.
- Strong customer service skills where you must be personable, professional, courteous, efficient and flexible when working with clients and all levels of internal customers at all times.
- Provide backup coverage at the receptionist desk.
- Perform administrative reviews and account status preparation as well as maintain files and account information.
- Perform ongoing account and client administration, account closings, coordinate filing of medical bills and insurance claims for review and follow-up as requested.
- Set up new account records in FiS, following setup checklists (New Account package).
- Taxes; assist in coordinating preparation, execution and filing of 1040’s and 1041’s with maintenance of tax logs.
- Estates and Trusts which are Closing; perform tasks designated on Administrative Duties Checklist (Form 2104)
- Independent self-starter who is efficient and effective in prioritizing, planning and organizing your daily work flow.
- Strong computer skills and highly proficient with Microsoft Office and PC software applications (i.e. Word, Excel, Power Point, Outlook, Access).
- Must display high level of confidentiality, honesty, integrity at all times.
- Comply with all Information Security and Cybersecurity related policy and procedure.

Education and Experience Requirements:- High School diploma or equivalent
- 1-year trust, banking or administrative office experience
- BA/BS Degree or trust/fiduciary or financial assistant background appreciated
